Admin Documentation

Documentation for the administrator panel of the Flixout platform, the ultimate video CMS for enterprises, small businesses, educators, and content creators.

Quick Start

This chapter covers common usage scenarios, the features recommended and how to get them setup as quickly as possible.

Dashboard

This chapter covers the features and usage of the Dashboard section in the admin panel.

Dashboard

Welcome

The Welcome section of the Dashboard function in the admin panel is the first landing point when logging into the admin panel. This area is designed to give administrators a quick glance of key statistics within the Flixout platform over the past 7 days.

New Users

Statistics about new registrations on the platform are presented in a graph so administrators can visualize the change in registrations over the past 7 days. To the right of the graph, administrators will find a table containing the users that are represented in the graph. Clicking the user row will bring the administrator to that specific User's section of the admin panel for additional details about the selected user.

Income Statement

The income statement provides a quick representation of revenue over the past 7 days. Here administrators can quickly see an overview of the following

Active Plans

This pie chart represents the type of plans that contain subscribers as a percent total of all plans with active subscribers. Hovering over this pie chart will show a legend of the plan name represented by a particular color. This pie chart represents all currently active plans, not just those from the past 7 days.

Active Subscriptions

This pie chart represents the billing period of all active subscriptions. A billing period can be one-time, weekly, monthly, quarterly, half-yearly, and yearly. Each different billing period represented in the pie chart is a percentage of the total active billing periods in the platform. Hovering over this pie chart will show a legend of the subscription billing periods represented by a particular color. This pie chart represents all currently active subscriptions, not just those from the past 7 days.

Active Payments

This pie chart represents the recurring revenue* based on the billing period of all active subscriptions (*with the exception of one-time payments which are no recurring). A billing period can be one-time, weekly, monthly, quarterly, half-yearly, and yearly. Each different billing period represented in the pie chart is the total income expected to be received for each billing cycle type as a percent of all expected income to be received as a whole. This data is aggregated by taking each individual subscription and adding them to other subscription amounts based on the same billing period. This pie chart represents all currently active subscriptions, not just those from the past 7 days.

New Subscriptions Income

This line chart plots revenue based on new subscriptions to the platform in the past 7 days grouped by the billing period chosen by the end-user.

Cancelled Subscriptions

This line chart plots lost revenue based on subscription cancellations on the platform in the past 7 days grouped by the original billing period in the subscription chosen by the end-user.

Dashboard

My Invoices

The My Invoices section of the Dashboard function in the admin panel gives administrators an overview of the invoices from Flixout for channel related services. From here administrators can quickly view any previous invoices generated for the channel and make payment on invoices outstanding.

Note: This section will only display if your channel has been issued an invoice. Not all channels may be enrolled in a Flixout plan for their channel. If this is the case, or you are enrolled in a plan that is free of charge, this section will not be displayed or available for access unless you have had an invoice generated for your channel due to special request.

Dashboard

My Subscription

The My Subscription section of the Dashboard function in the admin panel allows administrators to change their Flixout subscription, upgrading or downgrading without the need to contact Flixout. Your current subscription will be listed on the page where you can modify the billing cycle contract if you wish. You can also request cancellation by viewing your current subscription.

Available subscriptions are also listed below the details of your current subscription. Choosing an available subscription will start the process to change your current subscription to the new selection. If you have a custom subscription that was setup for you by Flixout staff, you will not be able to change the subscription via this page, you must contact Flixout instead to renegotiate the terms of your contract.

Additional addons are also available for viewing on this page. Addons can be one-time costs or recurring items that can be added to your current subscription. If an addon is included with your subscription, you will see that it is included and it will not be possible to add the addon to your channel again.

Tickets

This chapter covers the features and usage of the Tickets section in the admin panel.

Tickets

Overview

The tickets section of the Dashboard function in the admin panel is your ticket system for communicating with your audience members through the platform. This simplifies tracking of any question your audience may have while using the platform. Audience members may open a ticket via a number of ways from the end-user interface including reporting problems with episodes or by clicking the Contact menu item at the top of every page or the Contact link on the bottom of every page. Audience members will then fill out a trouble ticket with the issue type, subject and then a detailed message regarding their inquiry.

Ticket Workflow

Once a user submits their ticket, any administrator with ticket capabilities will be notified that a new ticket requires a response. You may then click the link provided in the email to go directly to the ticket or you can access the tickets, and any other ticket via the admin panel by navigating to Tickets on the navigation panel.

For your convenience, tickets are categorized based on their working status. Tickets requiring a response will also increase the waiting count on the Tickets navigation button. Ticket statuses are updated automatically depending on certain actions and can also be set manually overriding the default status. Available ticket statuses are as follows:

Responding to a ticket

To respond to a ticket, you may click any subsection under Tickets. Each section conveniently shows the number of tickets in that particular status state. A list of tickets that are in this particular status state will then be listed. To view the data associated with the end-user submitting the ticket, you can click the user's name, this will bring you directly to the user's detail page. To view and respond to a particular ticket, click the Show button to the right of the ticket subject.

Once the ticket has loaded, the message history of the ticket is displayed below the response area. Once you are ready to respond, type your reply to the user in the Message field. By default, any reply will change the ticket status to Waiting Member. If you wish to change this to a different status, select a different status from the Resulting Status dropdown menu before replying. Click reply to send your message to the user, the ticket status will change depending on your ticket status selection. If you changed the resulting status to closed, the ticket will be immediately closed upon replying, no response can be added by you or the end-user once this action is taken.

Closing a Ticket

A ticket can be closed in two ways. The first was examined in the previous section, "Responding to a Ticket". The other way you can close a ticket is by clicking the Close button when listing the tickets by status. Clicking the close button immediately closes the ticket and neither you nor the end-user will be able to add any response or change the ticket status.

Closed Ticket

A closed ticket cannot be responded to or have it's status changed. These tickets are archived for your convenience under the Closed section of Tickets on the navigation panel.

Users

This chapter covers the features and usage of the Users section in the admin panel.

Users

Create User

The Create User section of the Users function in the admin panel is mainly designed for administrators to create a user manually without the user registering through the front-end first. This is not the preferred method of adding end-users users as they should register themselves but in some instances, it is easier or necessary to register them yourself. Using this method is preferable for adding members of your team that assist in managing the channel above all else but can be used for any type of user.

User Details Form

* detonates a required field

Click the Create User button to add the user to the system. If the form is submitted without errors, you will receive a success message. If there are errors, you will be returned to the form and any errors must be corrected before continuing.

If you did not tick the Email Confirmed box, a confirmation email will be sent to the user that they must click before they will be able to login to the platform.

Users

List Users

You may view users registered on your platform by clicking the Users link from the navigation menu. A sub menu will open Create Users along with the different states a user can be in. The states available are as follows

Clicking these states will bring up a list of the users that match the selected state. A user can belong to multiple states, if you are unsure what state a user is in, we recommend clicking the All link.

Upon choosing a state, a table will be presented with the users matching that state filter. You may sort the table by clicking on the column type at the top. Alternatively if you are searching for a particular user, you can use the Search function above the table which will match the data presented in the table but not necessarily the data assigned to the user but not shown in the table.

View

Clicking the View button next to the respective user will bring up the view user function.

Edit

Clicking the Edit button next to the respective user will bring up the edit user function.

Delete

Clicking the Delete button next to the respective user will delete the user from the system.

Users

Edit User

This function allows you to edit a user's details. Note that some sections of the user details page are not available to end-users but are only set by administrators. Use caution when editing users manually as to not give them permissions to sections of the platform they are not authorized to view.

Users

Delete User

This page describes the delete user functionality in detail. To delete a user, you can click the Delete button associated with a user entry when listing a user type. Deleting a user is permanent and irrevocable. We recommend suspending users that should no longer be able to access the platform instead of deleting them.

What's deleted?

When you delete a user, the following items will be permanently and irrevocably deleted from the platform as well:

Due to the sheer number of data points deleted by this action, unless there is a valid reason, we highly recommend suspending the user instead. Deletion of data cannot be retrieved and it is recommended to keep a record of user data for legal reasons. We recommend consulting with an attorney regarding data retention laws in the jurisdiction you operate in as Flixout cannot give any advice on the subject.

Affiliates

This chapter covers the features and usage of the Affiliate section in the admin panel.

Plans

This chapter covers the features and usage of the Plans section in the admin panel.

Plans

Create Plan

The create plans function of the admin panel allows you to create a variety of different plans for your audience members to subscribe to. Usage of the plans functionality is optional and is ideally used for those that wish to restrict access to their content and charge their audience members either a one-time or recurring fee for access to the content. Plans can be setup for specific courses and are not necessarily system wide. A variety of options are available for channels to utilizes to make plans that make the most sense for their target audience. This page will explore that different options available to channels wishing to monetize their content through a subscription based model.

Recommendations

We recommend creating at least one category in Categories and setting up your payment gateway in the Settings before creating a plan. If you wish to assign premium roles in your Discord via this plan, we recommend integrating Discord before creating a plan.

Form Details

Below is a list of the different options when creating a plan and a description of the option.

Click Create Plan once you have configured your desired options and the plan will be created immediately and available for new subscribers.

Plans

Those that are currently subscribed to the plan are not effected by the retiring of a plan. This function is useful if you wish to add/remove courses associated with the plan while changing the pricing charged to the audience at the same time.

Promotions

This chapter covers the features and usage of the Promotions section in the admin panel.

Promotions

Create Promotion

The create promotion functionality allows an administrator to create a new promotion available for use by a member before subscribing to a plan. A promotion can consist of a discount (percentage based or flat amount) and/or a trial period. Below you will find a listing of each available form field when creating a promotion and a brief description of it's functionality.

Form Details

To create a new promotion, fill in the details in each field that apply to your use case.

Promotions

List Promotions

This section describes the functionality of the List Promotions link. This can be accessed by clicking Promotions in the admin panel and selecting the List Promotions submenu item. A data table will appear with the following tabs organizing the same data table depending on a promotion's current status:

The following table data appears on each status page. You will find the column descriptions next to the column titles.

Promotions

Edit Promotion

The edit promotion function allows administrators to edit existing promotions as required. An administrator is permitted to edit any promotion including active promotions, pending promotions, and expired promotions. To edit a promotion, from the admin panel navigation click Promotions and then List Promotions. A data table with sorting tabs at the top will appear, locate the promotion you wish to edit and click the Edit button.

Form Details

The following describes the form details of the Edit Promotion function. Note that the description is identical to the Create Promotion function and is presented below as a reference.

Promotions

The expire promotion function allows administrators to immediately expire a pending or active promotion before it has reached it's expiration date or maximum uses. To expire a promotion immediately, from the admin panel navigation click Promotions and then List Promotions. A data table with sorting tabs at the top will appear, locate the promotion you wish to expire and click the red Expire button.

If you wish to reactivate a previously expired promotion, you can change the End Date field under the Edit Promotions function. Take note that if you have set the max uses field (a value greater than zero), this may need to be adjusted to be more than the current uses of the promotion in order to activate the promotion again.

Subscriptions

This chapter covers the features and usage of the Subscriptions section in the admin panel.

Subscriptions

Create Subscription

The create subscription functionality allows an administrator to create a new subscription for a user manually. A subscription gives an audience member access to restricted content that requires payment before accessing. This admin panel function is useful when needing to create a custom plan based off an existing plan with a few tweaks or when assisting a user due to difficulties creating a subscription themselves.

Recommendations

The user you wish to create a subscription for should exist previously. If the user has not already registered on the platform, you can create the user manually. The plan you wish to subscribe the user to or customize the subscription for should also already exist. If the plan does not exist, you should create the plan before continuing.

Form Details

To create a new subscription for a user, fill in the following details before continuing:

Customized Subscription

The following fields are options for customizing the plan for the existing user. Changing the values will not affect other subscribers utilizing this plan.

Subscriptions

List Subscriptions

This section describes the functionality of the List Subscriptions link. This can be accessed by clicking Subscriptions in the admin panel and clicking one of the following:

Each of these subsections allows an administrator to sort subscriptions based on their status and presents the following data in an easy to read data table with the following variables:

Subscriptions

View Subscription

The view subscription function of the admin panel allows administrators to view key details about a particular subscription. The view subscription function is divided into multiple tabs which includes a number of subset data points for ease of access to important information associated with the selected subscription. Below describes the tabs and data points contained within.

Subscription Details

Gives an overview of details associated with the subscription, this includes

Subscription Details

Subscription Analytics

This provides a quick overview of invoices associated with the subscription. Each item under this section is covered under their respective tabs in the following entries of this page.

Outstanding Invoices

Lists invoices that have been generated but not yet paid by the client but excludes any invoices that are overdue. The following data points are listed under this tab:

Overdue Invoices

Lists invoices that have been generated, have not yet been paid in full, and are past their respective due dates.

Cancelled Invoices

Lists invoices that have been cancelled, either due to subscription cancellation or by cancellation on an administrators part.

Paid Invoices

Lists invoices that have been paid in full

Refunded Invoices

Disputed Invoices

Lists invoices that have been paid but subsequently a dispute was opened by the subscriber resulting in an account deficiency.

Subscriptions

Edit Subscription

The edit subscription function allows administrators to edit existing subscriptions, customizing or changing individual subscriptions as required. If the subscription is based solely off a one time fee, it cannot be edited and attempts to edit the subscription will result in an error message.

Form Details

The following options are available via the form details, some options can be edited and some are there for ease of viewing.

Subscriptions

Cancel Subscription

The cancel subscription functionality allows administrators to cancel a subscription manually or on behalf of a customer. Note that it is not required for a subscriber to cancel a subscription as they have the ability to cancel the subscription themselves via the end-user profile subscription management page. This method gives an alternative way for administrators to cancel a subscription if needed.

Administrators can cancel subscriptions on any page where subscriptions are listed and the cancellation button is available. Upon clicking the Cancel button, all outstanding invoices where the invoice has not yet been paid in full and for invoices having a due date of less than the current time will be cancelled. Invoices that are past the due date are considered to still be valid and due and will remain in the Overdue status unless changed manually to cancelled. An email will be dispatched to the subscriber confirming the cancellation of their subscription. No further invoices will be generated and only capture attempts will continue for related invoices not in the cancelled state.

Subscribers will lose access to the content that the subscription granted access to immediately unless another valid subscription is active that covers the content in the cancelled subscription.

Invoices

This chapter covers the features and usage of the Invoices section in the admin panel.

Invoices

Create Invoice

The create invoice function within the invoice section of the admin panel allows administrators to create invoices manually. This feature can be useful for generating invoices in instances that go beyond the automated capabilities of the Flixout platform. The invoices created using this function are strictly one-time invoices are are not recurring. If you require recurring invoices, it is highly recommended you setup and configure a purchasable plan instead and attach a subscription to it.

Form Details

The following fields are presented when you click the Create Invoice item from the menu in the admin panel. A brief description of each field is provided below for reference.

For additional information on how the auto payment capture process works, click here.

Invoices

List Invoices

The list invoices function of the admin panel will display a data table with invoices that match the selection criteria. To access the list invoices function, click the Invoices button in the admin panel and submenu will appear with the following options. Those options that will list invoices matching the selection criteria are bold for your convenience.

Data Field

Upon making a selection, you will be presented with a data table consisting of the following fields. The fields are listed below along with a brief description of their function.

Invoices

View Invoice

This page describes the functionality of the view invoice feature.  The view invoice function can be accessed by clicking view on any list invoice function found in multiple convenient places throughout the platform. Upon clicking view, the view invoice page will pop up consisting of the following tabs.

Summary

The summary tab gives a brief overview of the most important aspects of the invoice and allows administrators to make common one-click changes. Below is a summary of each item presented and a description.

In addition to the fields above, administrators can have a quick preview of the invoice by scrolling further down on the page. If you desire to change an item that is on the invoice or the due date of the invoice, you must edit the invoice.

Add Payment

This tab of the view invoice function can be used to manually enter payment details. This can be useful for entering transaction data that may have taken place outside the Flixout platform that you wish to still have a record for consistent bookkeeping reasons. The fields and their description are as follows:

Transactions

This tab of the view invoice function lists each associated transaction that was run against this invoice. These items cannot be added, modified, or removed as they are part of the payment tracking system but are displayed for your convenience.

Options

The options section allows you to change the due date of the invoice quickly without going to the edit invoice function.

Refund

The refund tab gives administrators the option to refund either in full or in part the invoice's total based on previously processed transactions. To initiate a refund, fill out the following fields as appropriate.

Invoices

Edit Invoice

The edit invoice function modifies an existing invoice. This gives administrators the ability to add additional items to an invoice, change the pricing of existing items, remove items, or change the due date. The following form fields are listed with their descriptive usages:

Form Fields

For additional information on how the auto payment capture process works, click here.

Invoices

Cancel Invoice

The cancel invoice feature is simple, it cancels the invoice and makes it no longer able to be captured by the system. Invoices that are in a cancelled state can be seen by both administrators and end-users but payments cannot be made against the invoice. This feature is useful if an invoice was created by mistake, the user cancelled their subscription but had not yet paid their invoice, or for other reasons deemed necessary by the administrator. Cancelled invoices can have their status changed back to a different state to attempt to capture the invoice in the future if needed.

Categories

This chapter covers the features and usage of the Categories section in the admin panel.

Categories

Create Categories

The create categories function allows administrators to organize their content into two levels of categories to make organization of episodes (videos) and live streams easy for the audience. Content can be placed in the first level category or second level category. Categories are an integral part to all use cases of the Flixout platform and should be one of the first things setup by an administrator.

To understand how content is organized better, when navigating to the platform on the end-user side, you come to the landing page. The landing page presents different episodes that are hosted throughout your channel including each course. Users also have the option of going directly to courses by clicking the Course menu item at the top of the page. A course is the top most category that contains chapters and episodes. Chapters are a subcategory of courses and contain only episodes, no additional subcategories. The following is a basic layout that you can pick when organizing your video collection:

Below you will find a description of each data field presented on the Create Categories page of the admin panel.

Field Data

Categories

List Categories

The list categories function, found under the Categories navigation menu presents you with a data table with all parent categories setup within the system when clicked. The data table consists of the following items below which are described in detail:

Create Video

The create video function, also referred to the episode function throughout the documentation, found within the videos item of the admin panel navigation creates a video entry within the platform and allows administrators to set the details of the video in preparation for viewing on the end-user interface.

Recommendation

  1. You should create the course and/or chapter you wish to place the video in before continuing.
  2. There are different steps that administrators can take to upload the videos, including uploading the video on the next page of this function but that may not be ideal if you are uploading many videos. If you wish to upload videos in bulk or you wish to import the videos (individually or in bulk) from a web address, it is recommended you do that first before continuing.

Data Fields

To create an entry for the video, a few data fields must be filled out first. Below we will list the data fields and describe their functionality.

Automated Functionality

Auto Payment Capture

This page describes the methodology of how invoices are paid automatically without intervention of the administrator or audience member.

Conditions

The auto capture function of the Flixout platform will attempt to capture payment for any invoice that meets the following criteria:

Attempts

Auto capture attempts to capture invoices that meet the above conditions hourly. When an invoice is declined, auto capture will attempt to capture the invoice again using the following criteria:

An email is sent to the user each time an attempt is made informing them if the capture succeeded or failed.

Failure

Once all capture attempts have failed, the system will no longer try to capture the invoice automatically and it will remain in an overdue state. If an invoice is past due, the associated subscription will move to a suspended state preventing access to any content access was granted to by the plan the subscription is attached to.
